Who we are
This Privacy Policy applies to LENS PLATFORM (Pty) Ltd, a company incorporated in South Africa, together with our affiliates (collectively, "Lens", "we", "us", "our"). Lens provides an AI-powered conversation intelligence platform. Our services include call ingestion, transcription, analytics, and reporting to help clients better understand customer interactions and improve operational performance.
How this policy applies
This Privacy Policy applies to the following categories of individuals:
- •Site Visitors – People who visit our websites or contact us.
- •Clients – Organisations that contract with us to use Lens.
- •Users – Employees or contractors of Clients who access and use Lens.
- •End Users – The customers or clients of our Clients whose calls and data may be processed through Lens.
The personal data we process
Site Visitors
- •Data collected: Name, email address, company name, and any information you submit through web forms.
- •Purpose: Respond to requests, provide product information, and send marketing (with consent).
Clients
- •Data collected: Company details, representatives' names and contact details, billing details.
- •Purpose: Manage the relationship, perform the contract, provide support, and handle billing.
Users
- •Data collected: Name, email address, login details, support requests, and activity logs.
- •Purpose: Create and manage accounts, ensure platform security, and provide support.
End Users
- •Data collected: Audio call recordings, call metadata (date, time, duration, participants), and any information disclosed during calls.
- •Purpose: Transcription, analytics, reporting, and insights, strictly on the Client's instructions.
Who we share data with
Sub-processors and service providers
We use trusted third parties to host, store, and process data. Our current list of sub-processors (including AWS, Google Cloud, Supabase, Slack, OpenAI, Anthropic, xAI, and Twilio) is available in our Data Processing Agreement.
Affiliates
We may share data with affiliates (such as Occam Holdings, where engaged for consulting or support).
At the Client's request
If Clients request integrations or data exports, we share data as instructed.
Legal obligations
We may disclose data if legally required or to enforce our agreements.
Data retention, export, and deletion
We retain personal data only as long as necessary to provide services, comply with legal obligations, or resolve disputes.
Clients may export their own Client Data at any time via the Lens platform or by request. This does not include system-generated analytics, aggregated statistics, or insights created by Lens, which remain the property of Lens.
Upon termination, Client data (including call recordings and transcripts) will be deleted within 60 days, except where retention is required by law.
How we protect your data
We implement technical and organisational measures appropriate to the risk, including:
- •Encryption of data at rest and in transit
- •Role-based access controls and multi-factor authentication
- •Monitoring, logging, and incident response procedures
- •Confidentiality obligations and training for staff
- •Use of certified cloud providers (SOC 2 / ISO 27001)
Your rights
Depending on your jurisdiction, you may have the right to:
- •Access your personal data
- •Request correction or deletion
- •Object to or restrict processing
- •Withdraw consent (e.g. marketing)
- •Lodge a complaint with your local data protection authority
If you are an End User, please direct requests to the relevant Client, who is the Controller.
